Why signature delay isn't usually a technology problem

DocuSign and Adobe Acrobat Sign both work reliably. When we audit a client's "documents aren't getting signed" complaint, the root cause is almost never the e-signature tool itself — it's the surrounding workflow: no reminder cadence, no visibility into where a document is stuck, or a signing order that creates unnecessary sequential delay when parallel signing would work fine.

The reminder cadence that actually moves the needle

Most e-signature platforms send exactly one reminder, days after the initial send, if you don't configure anything further. We build a structured cadence instead: a reminder at 48 hours if unsigned, a second at 5 days that also notifies the internal document owner (not just the signer), and an escalation at 10 days that flags the document to a manager for direct outreach. This alone typically cuts average time-to-signature meaningfully, because most delay isn't refusal — it's a document that got buried in an inbox and needs a nudge.

Sequential versus parallel signing — a decision that's often made by default, not intentionally

Many document workflows default to sequential signing (Party A signs, then it routes to Party B) even when there's no actual dependency requiring that order. If Party A and Party B can legally sign in either order, routing them in parallel cuts your expected time-to-completion roughly in half, because you're not waiting on one party to finish before the other even starts. We review every multi-party workflow specifically for unnecessary sequencing.

A concrete before/after

A real estate client's purchase agreements were taking an average of 9 days from send to full execution, with a four-party signing chain (buyer, seller, buyer's agent, seller's agent) routed sequentially. We restructured to parallel signing where legally permissible (buyer and seller could sign independently, with agents countersigning after), added the structured reminder cadence, and added a dashboard giving the transaction coordinator real-time visibility into exactly which party was holding up which document. Average time-to-execution dropped to just under 3 days.

Where teams get stuck

Teams often add automation on top of a broken manual process instead of fixing the process first. If your signing order is sequential for no legal reason, automating reminders on top of that sequential bottleneck helps marginally but doesn't fix the structural delay.
